1. Initial Group Deposit & Seat Holding
When booking a group (typically 10 or more passengers traveling together on the same itinerary):
- An initial deposit per seat is required to lock in contracted group fares and reserve airline seat inventory.
- Initial Holding Period: Group deposits may be refundable or partially refundable if written cancellation is submitted prior to the airline's contractual deposit penalty milestone (usually 90–120 days prior to departure, depending on carrier rules).
- Once past the carrier's non-refundable deposit deadline, deposit amounts are retained by the airline per their contract tariff.
2. Seat Reductions (Utilization Thresholds)
Airlines typically permit group coordinators to reduce the total group size by up to 10% to 20% of the original seat block without financial penalty, provided the reduction notice is given before the designated final payment date.
Reductions beyond the permitted threshold are subject to seat cancellation fees or forfeiture of that seat's deposit.
3. Post-Ticketing Cancellations & Refunds
Once airline tickets (e-tickets) have been issued following final balance payment:
- Airline Refund Rules: Airline group tickets are subject to the specific fare rules of the issuing airline (e.g., American, Delta, United, Lufthansa, Qatar). Refundable group fares are refunded according to carrier terms minus applicable airline administrative cancellation fees.
- Non-Refundable Fares: Many discounted group fares are non-refundable after ticket issuance. However, unutilized government taxes and airport fees are generally recoverable upon request.
- Future Flight Credits: In cases where cash refunds are restricted, airlines frequently offer group or individual travel credits valid for 12 to 24 months.
4. Passenger Name Changes & Substitutions
5. Flight Cancellations by Airline & Force Majeure
If an airline cancels, reschedules significantly, or halts operations due to adverse weather, air traffic control, or force majeure events:
- Passengers are entitled to alternate routing on the next available flight at no extra charge, OR
- A 100% full refund of the flight ticket directly back to the original method of payment, as mandated by aviation regulatory bodies (US DOT, DGCA, CAA).
6. How to Request a Refund or Cancellation
All group refund and cancellation requests must be sent in writing by the primary group organizer or corporate travel manager:
- Email: refunds@grouptraveldesk.com (please include your Group Reference PNR / Booking ID).
- Group Help Desk: +1-800-XXX-XXXX (Available 24/7 for urgent cancellation requests).
- Processing Time: Group refund reviews are submitted to airline revenue accounting within 48 business hours. Airline refund settlements typically reflect in 7 to 14 business days.
